About the Role
We are looking for a People & Business Operations Specialist to join our HR team and support a range of financial, administrative, and people-related processes.
This is not a traditional accounting role. The position combines recurring operational work with process ownership, analysis, and continuous improvement. You will maintain existing workflows, identify what is not working, and help make our processes more accurate, efficient, and automated.
The role requires close collaboration with team leads, HR, Finance, the CFO, external accountants, and contractors. It is a good fit for someone who is meticulous, comfortable working with numbers and documents, learns quickly, and takes ownership without requiring detailed step-by-step instructions.
Key Responsibilities
Budget Management
Collect budgeting data and planned expenses from team leads.
Review submitted information and follow up with managers when clarification is required.
Request budget approvals from the CFO.
Update the budget after approval and maintain an accurate log of all approved changes.
Collect plan-versus-actual data, identify discrepancies, and discuss them with the relevant managers.
Payments and Reporting
Verify payment information and prepare monthly payment files.
Coordinate payments to employees, contractors, and individual entrepreneurs.
Prepare and maintain monthly and quarterly reports, supporting documents, certificates of acceptance, invoices, and payslips.
Verify, categorize, and reconcile expenses.
Work with managers and external partners to clarify missing or inconsistent information.
Contractor and Administrative Support
Maintain accurate documentation and databases for contractors and individual entrepreneurs.
Support contractor onboarding and offboarding, including documentation and payment-related processes.
Coordinate with external accounting and legal service providers.
Support the selection or replacement of external providers when needed.
Maintain internal administrative documents, instructions, checklists, and process records.
Process Improvement
Review existing workflows and identify inefficiencies, risks, and recurring issues.
Suggest and implement improvements to financial, administrative, and people-related processes.
Automate repetitive tasks using spreadsheets, AI tools, and other available solutions.
Ensure that processes remain clear, documented, and scalable as the company changes.
Take ownership of operational changes and follow them through to completion.
Job requirements
What We Expect from You
Fluent Russian and English at B2 level or higher.
Based in Armenia.
Strong attention to detail and a high level of accuracy when working with numbers, payments, and documents.
Strong ownership and the ability to independently manage recurring processes.
Ability to communicate clearly with managers, colleagues, and external providers.
Proficiency in Google Sheets or Microsoft Excel, including pivot tables, formulas, data validation, and structured reporting.
Ability to analyze data, identify inconsistencies, and follow up with stakeholders.
High learning agility and willingness to quickly understand unfamiliar processes.
Interest in process improvement, automation, and using AI tools such as Claude.
